Overview
This policy explains how RideWrench collects, uses, shares, and protects information across our fleet and service-provider platform.
Information we collect
We collect information you provide when creating an account, building a fleet or provider workspace, reporting a service event, managing locations, or contacting support.
- Account information such as name, business email, authentication method, role, registered device, and push-notification token.
- Fleet and provider information such as company details, operating authority, service capabilities, locations, lanes, units, maintenance records, and dispatch contacts.
- Provider verification information such as email and phone verification status, Google Business Profile authorization results, domain-control challenges, and business documents submitted for review.
- Breakdown and location information, including coordinates, addresses, incident notes, provider selections, status updates, and service outcomes.
- Photos, videos, audio notes, signatures, receipts, inspection evidence, estimates, invoices, messages, and other files that authorized users add to a service event.
- With a driver’s or technician’s device permission, precise field location, accuracy, heading, speed, and timestamp while location sharing is active for a specific event or assigned job.
- Service-payment records such as invoice amounts, authorization status, payment status, and masked payment references. Payment-card details are collected and processed by Stripe rather than stored by RideWrench.
- Technical information such as IP address, device type, app version, device-generated identifier, session identifiers, security events, crash category, synchronization result, permission result, and privacy-safe product usage events.
How we use information
- Provide service-provider search, mapping, fleet workflows, account administration, and customer support.
- Match fleets with relevant providers and help users build private service networks.
- Secure accounts, prevent abuse, troubleshoot errors, and improve performance.
- Measure product usage and landing-page experiences when permitted.
- Send transactional notices, invitations, and service-related communications.
Maps, analytics, directories, and third parties
RideWrench uses third-party infrastructure and data services to support maps, geocoding, routing, provider discovery, authentication, push notifications, email delivery, file storage, payment processing, hosting, analytics, and databases. These services may process the minimum information needed to complete a request under their own privacy terms.
- Vercel Web Analytics helps us understand website visits, routes, referrers, general device and browser characteristics, and approximate geographic usage so we can improve RideWrench. It is not used to collect fleet maintenance records, breakdown notes, or provider-network details.
- The native app sends a limited set of authenticated operational telemetry events to RideWrench, such as app opens, selected role, synchronization result, permission result, and crash category. These events exclude free-form work-order content and precise location.
- Expo notification infrastructure and Apple or Google push services may process a device push token and notification-routing data needed to deliver transactional alerts.
- Stripe processes payment details for authorized physical roadside and maintenance services. RideWrench receives transaction status and masked references, not full card numbers.
- Provider and business information may come from commercial directories, public records, user submissions, and mapping services.
- Preview information on public pages may be generated for demonstration and is labeled as preview data.
- A fleet’s private notes, preferences, and network relationships are not presented as public provider profile data.
Sharing and disclosure
We do not sell personal information. We may share information with service providers that operate the platform, with fleet or provider workspace members as directed by authorized users, or when necessary to complete a service workflow.
- We may disclose information when required by law, to protect users or the platform, or in connection with a merger, financing, acquisition, or sale of assets.
- Service providers and fleets are independent businesses. Information shared during a service event may become part of each business’s operational records.
Retention and security
We retain information while an account is active and as reasonably needed for operations, security, dispute resolution, legal obligations, and legitimate business records. Retention periods vary by data type and jurisdiction.
Provider documents are stored in private object storage and are available only to authorized reviewers. One-time passcodes, verification tokens, and session secrets are stored as cryptographic hashes rather than readable values.
We use administrative, technical, and organizational safeguards designed to protect information. No internet service or storage system can guarantee absolute security.
Active-event location sharing
Driver and technician location sharing is off by default and must be started for a specific active event or assigned work order. The user can stop sharing at any time, and RideWrench stops active tracking when the event is completed, rejected, cancelled, reassigned, the user logs out, the sharing session expires, or the user stops it manually.
- Current event or job location is available only to authorized members involved in the shared work order.
- RideWrench does not use field location for advertising or sell it to third parties.
- A device’s operating system may limit or suspend background location updates; the field app displays the latest received timestamp and accuracy rather than implying continuous tracking.
Your choices and rights
- Update workspace and profile information through the product where available.
- Request access, correction, deletion, or export of eligible personal information.
- Opt out of non-essential marketing communications while continuing to receive transactional notices.
- Manage browser cookies and location permissions through browser or device settings.
- Contact us to exercise privacy rights available in your jurisdiction.
International use and children
RideWrench may process information in countries other than the one where a user is located. We use appropriate safeguards where required for international transfers.
RideWrench is a business service and is not directed to children under 16. We do not knowingly collect personal information from children.
Policy changes
We may update this policy as the product, service providers, or applicable requirements change. We will post the revised policy with a new effective date and provide additional notice when required.
